Sage Intacct accounting integration overview
How it works – what syncs from Sage Intacct to Accounts Payable, and what Accounts Payable sends back to Sage Intacct.
Data that’s pulled from Sage Intacct into Accounts Payable
On first connection, Accounts Payable runs an initial data sync, then keeps in step through incremental syncs roughly every two hours (and whenever a user triggers a manual resync).
- Bills (Posted only): Accounts Payable syncs a bill for the first time only once it has reached Posted status in Intacct. Bills still in Draft, Submitted, Partially Approved or Declined are not synced. A bill that moves straight from Posted through to Paid between two syncs is never picked up – Accounts Payable only starts tracking a bill it has actually seen as Posted.
- Purchase payments: Purchase payments made in Intacct are pulled. The initial sync retrieves them for all available history.
- Vendors (suppliers): Supplier records are imported.
- Chart of Accounts: The Intacct chart of accounts is pulled.
- Dimensions: Intacct’s Dimensions are pulled for coding and reporting.
- Tax rates: Tax data is pulled so bill coding stays accurate.
- Vendor credits (Debit Memos): Vendor credits (Debit Memos, which reduce what you owe a supplier) are recognised and can be applied against bills at payment time.
- Invoices created in Modulr AP: An invoice created in AP is pushed to Intacct as a bill record (APBILL). It arrives as Posted, or as Submitted if Intacct’s approval rules are active.
- Completed payments: When a payment completes in AP, it is pushed to Intacct as a payment record (APPYMT) and the bill moves to Paid or Partially Paid there. The payment is linked to the mapped Intacct bank account.
- Bank transactions (for reconciliation): The bank transaction for a completed payment is pushed so it can be matched against the payment in Intacct.
- Credit notes: Pushed as an adjustment (debit memos).
- Suppliers: Any modifications made to supplier records are sent to Intacct.
- Reconciliation: Bank transactions are auto-matched to posted payments so a reconciliation can be run in one step.
Historical window. The initial sync pulls Posted bills and purchase payments associated to invoices for all available history.
Bill approval
Both Sage Intacct and Modulr AP have approval rules that can be configured. It is recommended to only set up rules in one of these tools
Approvals in Sage Intacct
Where Intacct’s Bill Approval is enabled, a bill moves through Submitted / Partially Approved before reaching Posted. Modulr AP only receives the bill once it is Posted – the point at which it becomes payable. Because of this, bills awaiting approval in Intacct are not shared with Modulr AP.
Bills that originate in Intacct arrive in Accounts Payable as ‘Awaiting Payment’ if the Modulr AP approval rules have been disabled.
Invoices created in Modulr AP are submitted and placed into Awaiting Payment. At this time the invoice is also posted to Sage Intacct at which it goes through the Sage Intacct approval flow. This invoice is unable to be paid in Modulr AP until the approvals have been completed in Sage Intacct.
Approvals in Modulr AP
Approval rules can be configured for your invoices under the settings page. If you have these enabled, you should disable approvals in Sage Intacct.
Bills created in Sage Intacct that become Posted will then go through the approval system in Modulr AP. A posted bill will be pulled through and placed into Awaiting Approval. Once it has been approved, it will move to Awaiting Payment and can be paid.
Invoices created in Modulr AP are submitted and placed into Awaiting Approval. At this time the invoiceis also posted to Sage Intacct.
Payments
Invoices can be paid in Modulr AP once they are awaiting payment. If the bill is in a status of ‘Posted’, the payment can be made.
If the bill is ‘On Hold’ or the vendor status is 'Do Not Pay’, ‘On Hold’, or ‘Inactive’, you will receive an error when attempting pay and you should resolve the issue in Intacct.
Data that Accounts Payable sends back to Sage Intacct
Modulr AP writes back to Intacct on a deliberately small set of events. Everything else is pull-only – a standard sync never writes to Intacct.
Not synced
- Purchase orders
- Receipts
